How do I file an expense report and enter time in Workday?

Reference the video tutorials below to learn how to file an expense report.

*Please note that submitting expense reports weekly is preferred to ensure faster reimbursements. Reports can be submitted any time up to 30 days after the expense was incurred. Any expense submitted after thirty days from the date of being incurred will not be approved. Exceptions will be reviewed on a case-by-case basis and any exception to this policy will need manager/director approval. This policy is effective 10/1/2023.

Important considerations

  • Expenses need to be submitted in a timely fashion and Finance will not accept expenses older than 30 days.

  • Your supervisor is responsible for entering your Caregiver Admin Time: 3 minutes of admin time for each completed booking.

  • Your worked booking hours will automatically be uploaded into Workday on Friday mornings. You do not need to manually enter this time.

Expenses must be approved by your manager prior to submitting an expense report. Reimbursable items may include:

  • Mileage Reimbursement ($0.67 per mile) for 40+ miles round trip (When you submit, please submit just the amount over the 40-mile round trip expectation and not the entire round trip).

  • CPR certification fees

  • Parking/toll fees

  • Rubber Gloves

  • Rideshare expenses (must be approved first – please check with your supervisor and review our rideshare policy here.)

  • First-Aid Kit up to $10, Mask up to $15

  • Notary services

Please be sure to add line items to your current expense report versus creating an expense report for each item. (See reference below, click to enlarge.)

If you need to reset your Workday password, select the "Forgot Password" or "Change Password" function on your Workday page. Once you enter your email, it will automatically send you a message to allow you to reset your password. Once you get the email, click the link provided and change your password.
